Frequently Asked Questions
What Are Coasters?

Coasters are protective mats placed under drinks to prevent moisture marks and spills from damaging surfaces. From everyday drink coasters and cup coasters to beer coasters, bar coasters, and elegant wine coasters, they play an essential role in hospitality and events.

Our premium paper coasters and paper drink coasters are absorbent, durable, and designed to showcase your branding clearly. While they protect tables, they also position your logo or message directly in front of your customers, making them a practical yet powerful marketing asset.

How long does production take?

Coasters production takes 3–7 working days.

These estimates apply after your design proof is approved. While we strive to complete orders within the promised timeline, production times may extend slightly during peak periods.

Should you need these urgently, feel free to get in touch with our customer service at printshop@paperlust.co so we can prioritize your order.

What format should I provide my artwork to you in?

File Type
We prefer artwork in PDF, SVG and Adobe Illustrator formats. Please add 3mm bleed and crop marks whenever possible.

Fonts & Artworks
Make sure all fonts are outlined/vectorized, and all images/artwork embedded.

Will I receive a design proof before it’s printed?

Yes we will send a final design proof to your email. We will not proceed to print until we receive your design approval.

Where is Paperlust Print Shop based?

Our head office is located at 23 Manton Road, Oakleigh South, Victoria, Australia. For Australian addresses, we offer two shipping options you can choose:

  • Express shipping: 1–2 business days for metro and 3–5 business days for regional (using Startrack)
  • Standard shipping: 2–5 business days for metro and 4–6 business days for regional (using AusPost)
Can you ship worldwide? How long will it take?

We ship worldwide with flat AUD $35 charge (2–4 working days). We partner with DHL to ship our products express internationally.

Do you have an order minimum?

Yes, minimum quantity for coasters is 50.

Can I print a QR code on the coasters?

Yes, add your QR code to the artwork and we’ll print it on your coasters.

How many coasters can I order?

The minimum order quantity is 50 coasters and the maximum standard quantity is 1,000. If you require more than 1,000, contact us to discuss options.

What is the price per unit at different order quantities?

Pricing is $3.46 per unit (inc. GST) for an order of 50 and drops to $0.93 per unit (inc. GST) at 1,000 units. The per-unit price steps down progressively as quantity increases between those two points.

Can you print on both sides of the coaster?

No. We print on the front face only. Double-sided printing is not available on this product.

How well do the coasters absorb moisture?

The 355gsm beermat board is an absorbent pulpboard made specifically for drink coaster use. It wicks condensation from the base of a glass and prevents ring marks on tables and bar surfaces. The uncoated surface absorbs moisture rather than repelling it, which is what makes beermat board the standard material used in pubs, bars, and cafes.

Can I order a custom size or a different die shape other than 95mm?

The standard coaster product is available in 95mm only, in square, rounded square, and round shapes. Custom die shapes and sizes beyond these three options are not offered on this product. If you have a specific size or format requirement, contact us via our artwork services page to discuss whether a custom solution is possible.

How far in advance should I order coasters for a wedding or event?

Production takes 3 to 7 working days after you approve your design proof. Allow additional time for design proofing at the start of the order. As a practical guide, placing your order at least 2 weeks before you need the coasters in hand will give comfortable room for proofing, production, and delivery. Metro areas receive express delivery in 1 to 2 business days; regional areas typically take 3 to 5 business days.

What bleed and safe zone does my artwork need for a round coaster?

For all three shapes (square, rounded square, and round), include 3mm of bleed outside the trim line and keep any critical design elements, text, or logos at least 3mm inside the cut edge. For round and rounded-square coasters this is especially important, as any content close to the edge will be trimmed on a curve. Supply artwork as a PDF, SVG, or Adobe Illustrator file with fonts outlined and images embedded.

Can you print white ink or use dark-coloured stock for coasters?

No. White ink and dark-coloured stock are not available for this product. All coasters are printed full-colour on the natural face of 355gsm beermat board. If you want a darker visual result, this is best achieved through full-bleed artwork that covers the surface with your chosen design.

Can I reorder the same design?

Yes. Contact us with your previous order reference and we can reprint from the approved artwork file. Standard pricing and minimums apply to all reorders.

What is the difference between a paper coaster, a cardboard coaster, and a beermat?

These three names describe essentially the same product in different contexts. Beermat is the hospitality industry term, used commonly in pubs and bars across Australia and the UK. Paper coaster is used loosely for any printed coaster made from pulp rather than plastic, wood, or cork. Cardboard coaster usually refers to a similar product made from heavier board. The material we use, 355gsm beermat board, is a compressed absorbent pulpboard and is the technical version of what all three names refer to.

Can I see a physical sample of the coaster before placing a full order?

All orders include a digital design proof by email for approval before printing begins. If you would like to assess the physical stock and print quality before committing to a run, contact us to discuss sample options.

Are the coasters printed in Australia?

Yes. All coasters are printed at our studio in Oakleigh South, Victoria. Production stays in Australia and orders ship Australia-wide with express and standard delivery options.

Do you deliver printed coasters to Brisbane and the Gold Coast?

Yes. Coasters are printed at our Oakleigh South studio in Victoria and shipped Australia wide, including Brisbane, the Gold Coast, and the rest of South East Queensland. There is no surcharge and no separate minimum for interstate orders.

Production takes 3 to 7 working days after you approve your design proof. Metro Brisbane and Gold Coast addresses then receive express delivery in 1 to 2 business days, and regional Queensland addresses typically take 3 to 5 business days.

How do I get coasters printed?

Choose your shape and quantity on this page, upload your artwork, and approve the digital proof we email you. We print coasters from 50 units up to 1,000 in a standard run.

Artwork needs 3mm of bleed outside the trim line, with critical elements kept at least 3mm inside the cut edge. If your file is not print ready, our artwork service can set it up for you before the proof goes out. Once you approve the proof, production runs 3 to 7 working days and the order ships from Melbourne.

Do you print business coasters and wholesale quantities?

Yes. Business coasters are the most common order on this product: pubs, breweries, bars, cafes, restaurants, hotels, and function venues printing branded coasters for daily service.

A standard run goes up to 1,000 coasters. If you need more than 1,000 for a wholesale order or a multi venue rollout, contact us and we will quote the larger quantity.

Paper Coasters or Cardboard Coasters: Why the Stock Matters

When people search for paper coasters or cardboard coasters, they are usually looking for the same product: an absorbent drink coaster made from compressed pulp rather than plastic, cork, or acrylic. At Paperlust Print Shop, we use 355gsm beermat board for all printed coasters.

Beermat board is an absorbent pulpboard specifically engineered for wet-glass environments. Unlike a coated cardboard or thin card stock, it wicks moisture away from the base of a glass rather than letting it pool on a table. The uncoated surface accepts full-colour print well, giving you a clean, vivid result for logos, branding, and custom artwork without requiring a glossy laminate.

The 355gsm weight makes the coaster rigid enough to stay flat under a glass and hold its shape through a busy service, while remaining easy to stack and dispense from a standard coaster holder. If you have been comparing paper coasters to thicker board options, beermat board is the industry-standard substrate for venue and event use, not a compromise.

Coaster Sizes and Shapes: Square, Rounded Square, and Round

Every coaster we print is 95mm across. The 95mm dimension aligns with the standard Australian bar coaster size, fits standard coaster dispensers and holders, and leaves enough room for a logo, table number, or branded artwork without overcrowding the design.

We offer three shapes at that size:

  • Square (95mm): clean, contemporary lines that suit cafes, function rooms, and corporate events.
  • Rounded square (95mm): softened corners for a friendlier look, popular with bars and casual dining venues.
  • Round (95mm): the classic beermat shape, most common in traditional pubs and breweries.

All three shapes use the same beermat board stock, the same production timeline, and the same pricing. Your choice of shape affects only the die cut, not the print method or the per-unit cost.

If you are supplying artwork for a round or rounded-square coaster, include 3mm of bleed outside the trim line and keep any critical design elements at least 3mm inside the cut edge to avoid cropping on the curve.

Beer Coasters for Pubs, Breweries, and Bars

Beer coasters and bar coasters are the thick absorbent coasters placed under every glass in a pub or brewery. They serve two practical purposes: protecting the bar top from condensation and giving the venue a branded surface that is visible to every patron at the bar.

Beermat board is the standard material for this application. It absorbs moisture from the outside of a cold glass, preventing slipping and stopping ring marks from forming on timber, laminate, or stone bar tops.

Many bar operators rotate coasters seasonally to promote tap lists, upcoming releases, events, or promotional offers. A run of 100 to 500 coasters is a realistic order range for a mid-size venue, and with production completing in 3 to 7 working days after proof approval, a mid-week briefing can produce coasters ready for a weekend service.

We print on the front face only. If your bar programme requires branded custom stickers for bottles, taps, or packaging alongside your coasters, those are available from the same studio.

Coasters for Restaurants and Cafes

A restaurant or cafe coaster sits in front of every seated customer for the length of their visit. It carries whatever message, branding, or artwork you put on it, and it stays in view far longer than a menu a customer glances at once and sets aside.

Runs start from 50 units for smaller venues and scale up to 1,000 units at $0.93 per unit (inc. GST) for larger hospitality groups ordering across multiple sites or preparing for a busy season.

The uncoated surface of beermat board gives a warm, matte print result that complements food service contexts rather than competing visually with the table setting. This suits venues that want their printed material to feel considered rather than glossy.

If you are building a consistent brand identity across your venue, coasters pair naturally with printed menus and custom stickers for takeaway packaging, all available from the same studio and printable to a matching colour palette.

The 95mm size sits comfortably under cups, glasses, cans, and jugs without overhanging the edge of a standard saucer or side plate.

Personalised Coasters for Weddings and Events

Wedding coasters have become a popular favour format because they are practical, compact, and easy to personalise with a couple's names, wedding date, or a short phrase. They can serve as a table decoration during a reception, sit at the bar during cocktail hour as a branded surface, or act as a place card when a guest name is printed on each one.

Because the minimum order is 50 units, a small reception with 80 to 100 guests can be accommodated with a single run. For larger weddings or events where you want variations across tables, such as different table numbers or personalised guest names, multiple small runs are possible.

Our production timeline of 3 to 7 working days after proof approval gives you a predictable window to plan around. If you are coordinating printed pieces across an event, ordering coasters at the same time as your invitations or menus means everything arrives together or close to it.

Personalised coasters are also a natural fit for corporate events, product launches, milestone birthday parties, and christenings. Any occasion where guests gather around a table benefits from a considered, printed surface that carries the event's identity.

Coaster Printing Australia Wide: Melbourne, Sydney, Brisbane, and the Gold Coast

Every order is printed at our studio in Oakleigh South, Victoria, and ships Australia wide. The board, the shapes, and the per unit pricing are the same wherever the box is going, so a Melbourne bar, a Brisbane cafe, a Gold Coast function venue, and a Sydney restaurant group all order from the same page at the same price. What changes between cities is the delivery leg, not the print.

We print coaster artwork in full colour on 355gsm beermat board, in 95mm square, rounded square, and round. Production runs 3 to 7 working days once you approve your digital proof, and delivery starts from there:

  • Melbourne and Victoria: printed locally in Oakleigh South, the shortest delivery leg on the run.
  • Sydney, Brisbane, the Gold Coast, Adelaide, Perth, and Canberra: shipped from Melbourne with express and standard options. Metro addresses receive express delivery in 1 to 2 business days after production.
  • Regional and remote addresses: allow 3 to 5 business days after production.

To have printed coasters in hand for a fixed date, place the order about two weeks out. That leaves comfortable room for proofing, the 3 to 7 working day production window, and the delivery leg to your state.

If you are ordering for venues in more than one city, run the full quantity as a single job and split the cartons on arrival. The per unit price steps down as the quantity rises, from $3.46 per unit at 50 to $0.93 per unit at 1,000, so one run of 1,000 costs less per coaster than two runs of 500.

Strengthen Your Brand Visibility

Pair your promotional coasters with other branded materials such as custom stickers, business cards, signage, and banners. When your branding appears consistently across multiple touchpoints, it builds trust and reinforces recognition.
